The following reports were offered for the KMCA Membership Meeting held on April 15, 2009 during Spring Conference at KY Dam Village.
By-Law Committee, Chaired by Karen Barto – The Committee met on December 11, 2008 to discuss all suggested changes and updates. After discussion and review of each suggestion and change the committee came up with a list which was incorporated into the existing by-laws and presented to the Executive Board at their March meeting. The changes were accepted by the Executive Board and then distributed to all KMCA members for review and will be voted upon at the Spring Conference. (Update – the changes were accepted as submitted.)
Education Committee, Chaired by Inez Harris and Becky Pyles – The Committee is currently working on several areas of concentration.
Spring Conference – developing policy to get MMC pts., putting more in KMCA budget for education at Spring Conf., KMCA needs to look at raising the dues.
KMCI – the curriculum for 2009 has been set, 21 should complete the program this year, need to look for new presenters and topics.
MMC – will be held Oct. 21-23 at Georgetown’s Hilton Garden Inn, setting the curriculum is in progress.
The committee has also discussed development of a Kentucky Master Municipal Clerk Program. There was also an extensive update and discussion at the conference led by Paul Combs and the membership voted in favor of moving forward with development of the program for a KMMC designation (similar in concept to our current CKMC).
Membership Committee – Chaired by Maxine Jeffries – The “New Clerks Packet” was developed last year, a few revisions have been made and they will be sent out to each region for distribution as needed.
Scholarship Committee – Newly Chaired by Crissy Upton – Fundraising at KLC Conv. in Oct. 2008 brought $60 for the scholarship fund.
Communications Committee
Global Email, Susan Lamb - Communications as it relates to emails being disseminated for information requests, legislative updates, conference updates, and general KMCA news is going fine. The responses to information requests are still very successful as well as the legislative updates.
Newsletter – The KMCA newsletter continues to be published twice a year, in the summer and winter with target dates of June and December. The current edition and several back issues are available for viewing on the website. We have started sending the newsletter via global email but hard copies continue to be mailed to each city in an attempt to reach all clerks, including those without email and the newest clerks. If you have news or another item (original articles on topics of interest, poems, anecdotes or lessons you’ve learned in your career as a clerk) that you would like to contribute, please forward it to Amy Beth Able (via email to aable@fortmitchell.com, via facsimile to 859-331-6102 or the old fashioned way to P.O. Box 17157 Fort Mitchell, KY 41017-0157.) The President will have final approval on all items for the newsletter. Website, Amy Beth Able – Resources, samples, links, and information on educational programs and conferences continue to be added and updated on kyclerks.com regularly. After the revisions were revealed at the 2008 Spring Conference, 190 clerks have become registered users. Those who become a registered user and login when visiting see about twice as much content. The forum is being utilized regularly but we need more people to participate and share their wisdom by answering the questions posted to maximize this tool. There are currently 89 conversations and requests for information under the section of business related items and many more in the “softer side” which is available for networking on a more personal level. There is an option you can click to receive an email each time a new thread is posted or you can track individual threads you start or have an interest in. The average number of responses posted to a thread is 3 and threads are viewed an average of 28 times (more may see the posts sent directly to their mailbox.)
